Portal Information
The Parent/Student Portals in Infinite Campus are a way to keep up to date on your student's progress, keep your contact and demographic information up to date, view other information and get notifications about student events. A few things to keep in mind:
- Each school controls the options that the parent or student have in the portal. What may be available in one school may not be available in another school.
- Each school district has a separate login. Currently, each portal account can only access one district.
- Logins should be by person only and not shared with anyone else in your family or with your student. Security is very important and sharing of portal accounts can lead to family privacy violations.
Obtaining an Account
Each district sets up accounts differently. You will either receive an email with an activation link OR you will get a personal activation key (also known as a Person GUID). If you have this key, you can click the New User? link in your district's portal link to setup your account.
Parents and students have separate links with slightly different information.
Setting Up Your Account
You will be asked for a Username and a strong password. The password will show 100% when the password requirements are met. Please never share your password with anyone. Your "Campus Password" will be the password you setup in this process and the one you logged in with.
Once you login to the Infinite Campus portal, you will be asked for a security email address. This can be any email address that you have and is used for resetting your password.

Census Data and Entering People
Census Data and Entering People into Infinite Campus is one of the hardest parts of the system. There are many variables and situations which the system can handle, but you need to be very careful in entering the data. The system is esentially enter a person once and then use them anywhere in the system instead of entering that person multiple times. The same is true for addresses and household information.
Student and Staff Photos
Student and Staff Photos can be uploaded to Infinite Campus. Follow these guidelines for best results:
- Photos need to be formatted to a jpeg (.jpg) format.
- Photos should be in a 2:3 ratio for width by height for best results.
- After files are uploaded, they are resized to 175 x 263 pixels.
- Uploading in mass must be done as a .zip file and cannot exceed 100 MB total. If you have large number of photos, you may need to upload them in batches.
- Individual photo size is limited to 3 MB and recommended size is 30 to 35 KB.
- Student photos should be identified by student number. Staff photos should be identified by personID. Make sure when you are providing data to a photo vendor to tell them that staff photos should be named by PersonID.
- It is recommended to create a standard Ad Hoc Filter for Student Data and another one for Staff Data when providing information to the vendor and to make sure everyone uses the same exports. There is a Photo Export report in Campus, but may not have the correct information that you need to provide.
Infinite Campus Missing Photo Report
Student Photos can be exported through the Data Extract Zip Tool. Set it up and select the "Student Photo Extract" option.
Infinite Campus Data Extract Zip Tool for Exporting Photos
Emancipated or Age of Majority Students
Emancipated or Age of Majority students are typically older students who are a guardian to themselves. This requires special setup in the system once they are verified as a legal guardian of their own.
Essentially, the process is to end them from their current parent/guardian household and then make their own household with just themselves in that household. Then in Relationships, add the student to themselves as a non-household relationship so that they are a guardian to themselves.

Ad Hoc Reporting Tools
Filter Designer
This is a tool to select fields and create reports with selection criteria and can order and sort the fields in the way that makes sense. These reports can be shared into the User Groups for others to be able to access. Ad Hoc Filters can be used for Data Exports or in various other areas to filter the data for other reports or searching for information.
Data Viewer
This is a tool for individual user reports. This tool allows drag-and-drop fields into a real-time view. The reports can be organized into folders but cannot be shared with other users or in separate User Groups.
Pivot Designer
This allows users to analyze, interpret and visually present cross-referenced data into tables and charts.
Letter Designer and Letter Builder
The Letter Builder and Letter Designer work together to be able to create Form Letters and be able to print them and send them out.
Reports
Infinite Campus Reports
Infinite Campus has a number of reports built into the system. Many of these reports can be filtered using Ad Hoc Filters and can be saved in PDF, CSV and DOCX formats.
Infinite Campus List of Available Reports
Ad Hoc Report Links
Ad Hoc Reports can be turned into Links and run as needed by staff. Once the Ad Hoc link is built and a Custom Tool is created for it, it can then be linked in the Custom Tool Placement tool. Once the tool has been placed, proper rights need to be given to the staff or user groups that are allowed to run the reports.
Custom Reports
Custom Reports are Microsoft SQL Server Reporting Services (SSRS for short) reports that are linked into the system. Proper rights need to be established to run the reports, and further rights may be required to actually run the report.
Communication
Campus Messenger
Contact Preferences Batch Tool (new window) - this should be run at the beginning of the school year once all of the information is entered into Infinite Campus. This can only be done by an Administrator. Please request this process through a Help Desk ticket to update your school and which contact groups (Student Contacts, Students or Staff) need to be updated.
